Why do you have a policy for cancellations?

Our practice is thriving and our schedules get filled up at least a week in advance. We attribute this achievement to the quality of care we offer our couples and individuals. From experienced therapists, through effective couples therapy programs, to how we show up for our clients. We give our clients a top-quality experience. We do that by making sure our therapists are not overworked or burnt-out. For this to happen, we limit our caseloads to a selected quality amount of clients. Our clients, as a result, get a refreshed therapist who is eager to dive into the session and be most effective. 

Now, when we schedule a session with a client, we block this time on our schedule for that specific client. This means that we are not able to offer this spot to anyone else even if we have demand for that specific time-slot.  Moreover, it is close to impossible to fill this appointment time within less than 48 hours. And so, when clients cancel in less than 48 hours, the time-slot stays open and the therapist is not compensated for that work hour. 

Therefore, to keep our quality service and fairness to clients and therapists, we hold a 48-hour cancellation policy as follows.

What if a therapist cancels?

We hold our clients responsible for attending each appointment they agreed upon. Our clients are asked to adhere to the following cancellation policy as they sign our therapy agreement. 

If clients are prevented from keeping a scheduled appointment, they MUST notify their therapist at least 48 hours in advance. If the therapist does not receive a 48-hour advance notice, the client will be responsible for paying the full fee for the session they missed or failed to cancel on time. A notice can be given by a direct phone call to the therapist, an email, or a text message. 

We are aware that psychotherapy is a uniquely personal service; therefore, we let our clients know consultations may be briefly interrupted. Our therapists, from time to time, take time off for vacation, to attend seminars, and/or become ill. The therapist will attempt to give the clients adequate notice in advance and will arrange coverage for any emergencies by a colleague. In cases where the therapist is unable to contact the client directly due to circumstances out of their control, the therapist will have a colleague contact the client to cancel or reschedule an appointment.

How do you keep clients' confidentiality?

We advise our clients that anything said in therapy is confidential and may not be revealed to a third party without written authorization, except for the following limitations: child abuse, vulnerable adult abuse, self harm, harm to others, court orders & legal issued subpoenas, fee disputes, other limitations specified in our therapy agreement and under the Florida statute 491.0147 & Chapter 394

How are clients charged for the services?

Payment is due before or at the time of service. We request a credit card authorization to be on file for all payments. Clients can request to change or add the card on file. A partial deposit is requested at the time of booking the first session with any one of our therapists.

Do you have other policies?

Yes, we do. We have all of our clients read and sign our therapy paperwork which include all of our policies, agreements, and consents. Once you book your first session with us, we will send you electronic paperwork to fill out and sign. You will be able to go over and download your paperwork for your records.
